Review and Update of Past Projects (Patrick)

Digital Strategies would like to minimize updates (annually, if possible)
Microfiber cloths and touch screen wipes have been purchased; Sara will test these out
- Thought Plan - Mary has a meeting scheduled with Dr. Lawson
Summary of Thought Plan: Front line staff have good ideas that never come to fruition. The
Thought Plan can be an avenue for staff to present these ideas. These ideas will be presented to the
SIT committee, and if approved, will be presented to ELT
Suggestions may be given to the presenter and they can tweak as necessary. The SIT committee is a
broad group of different level staff members and will be a great platform to present.
- Uniform Endcaps - Clayton and Meyer are top priority; Alejandro has completed working on the signage (including ranges); SPACES needs to schedule the installation; there is no funding for NO TAPE this fiscal year but we can still create consistency in all locations (uniform font, uniform color, etc.)
- Cataloging Paperbacks - Complete; getting delivered with spine labels
- Virtual Library Card - In progress; Veronica Davidson sent policy for review; has not been released to staff; staff will need to be trained that barcode must be come from the HPL app
- RFID Directly on DVDs - Too costly; looking for alternate solutions
- Store and Forward and Partial Payment on Express Checkout Machines - In progress; partial fine payment turned on, store and forward temporarily turned off; can now pay fines down to $10.00
- In-House Use - In progress; pilot at Kashmere; Pedro wants scanners for tablets instead of cameras; scanners can get pricey if we purchase for all locations; Patrick suggested purchasing only for locations with sorters
- Moving Away from Return Receipts - In progress; Kendall sorter no longer offers return receipts and has had no major issues; Mary suggested creating a list of dialogue to use for customers; Sylvia suggested providing visuals (showing account on monitor)
- NextReads Suggestions on Express Check - Stalled; vendor started charging for service
- Summer Food Program Suggestions - In progress; currently 16 locations participating; received grant to purchase refrigerators and microwaves
- Revamp Open Job Labs - In progress; Training session this past January; Mary is working with Nicole Robinson and Marjorie Gonzalez; will be under Job Readiness; MAN and ROB had very high attendance in June; additional promotion includes a two-month flyer; Open Job Labs is not just for job applications; can also be used for FAFSA, Housing Applications, Skills Certification Courses
"Second Chance Job Fair" will be held at Vinson on July 9, 2016
Received 266 responses for the Project Outcome Survey - received numerous positive and open-ended
comments and suggestions; staff requesting to be better trained; customers want friendlier staff
- Checkout Limits - In progress; Removing the checkout limit on DVDs will increase circulation but there will be a higher chance that these items will not be returned; Fred will work on the policy; if DVDs are not available for checkout, customers can place a hold and staff can promote Hoopla
- Passport Phone Number - Stalled but Liz will discuss with Mr. Weeks; as an alternate solution, can we record a voicemail message or a video for the Passport Services page?
- Processing Birth Certificates - Decided against; too much work for little revenue
- Promoting Databases - We may get Niche Academy, a service that provides short video tutorials; this will work well with our Learning Link Program
- Long In Transit, Processing, Shipped Status - In progress; possible use of Digital Library Assistant (DLA) to find items in processing, transit, or shipped status; Jeff is waiting for a quote for wifi; 70-80% of NL collections are tagged
- Claims Returned List - In progress; George is working on script to put the item on more than one list; Sylvia has committee set up and will soon
Young Update from Digital Strategies (Jeff)
- 2 Gaming Stations in Teen area and 2 Gaming Stations in Kids area; need feedback on which games to purchase (Jeff will contact Jenny Phengdara from ROB and cc Mary and Laurie)
- Large meeting room will have a high-end projector
- Service desk will have an events TV
- Adult area will have TV
- New Reservation System, queue will be shown on a monitor mounted on the wall
- Conference Room will have a Smart Board
- Training Lab will have 19 computers; will also have laptops (Windows and MAC)
- 3D Printer and Scanner (training for staff will be provided)

- Engage Table (for kids)
- Crayola Kiosk

Programming and Meeting Room Capacity (Sara)
- Do not go over capacity. We need a solution and the solution must be used for all locations.
- Djuina said that tickets worked very well at Fort Bend County
- For SRP, HEI requires registration for events (either by phone or in person). They also inform customers of appropriate age range for programs
- Events Calendar has "R" next to event, indicating that customers must register for event.
- Daycares need to call ahead so tickets can be set aside for the group. There can also be events specifically catering to daycares.
- Fort Bend allowed tickets to be picked up one hour before start of program. SRP program times may have to be changed for next year.
- Standard Storytime: 20 kids max (VRR kits will only have enough for 20 kids); the smaller the group, the better the quality of the storytime; Mary suggests receiving input from children's librarians
Open Discussion
- Floating Items - Can a staff account be created for floating items? Items will be checked out to this account while in transit to floating location.
- New Reservation System - Has been deployed but still has a few bugs that need to be fixed (shuts down once a day); guest passes are working well; delay has been fixed
- Fred gave compliments to Edgar on his HISD presentation, Dominick and his team for working so diligently on Young's collection, and Mary for keeping track of multiple projects
- Neatoscan - Pilot at Jungman; Patrick and Dominick will provide feedback
- FIDS Pick Up - Always keep spreadsheet updated
- Magazine Donations - Friends does accept magazine donations
